Senior Administrative Assistant at EDWC
At EDWC, we’re dedicated to accelerating economic growth and fostering a thriving business community in Washington County. Our full-time Senior Administrative Assistant position is the heartbeat of our non-profit organization, orchestrating seamless operations and making a significant daily impact!
Key Responsibilities
- Executive Support. Support the Executive Director with various program and operational activities, prioritizing competing needs and executing diverse tasks necessary to address them. Provide the Executive Director with administrative support; calendaring, prepping for meetings, and aligning time and tasks for successful completion.
- Loan Program Support. Collect and compile borrower documentation per various checklists and organize into electronic loan files, keeping them current. Monitor loan compliance, interacting with borrowers to obtain quarterly/annual reporting documentation. Track and update required loan filings, lien requirements and security documentation. Assess overall borrower compliance and elevate areas of concern. Coordinate annual borrower site visits and participate in them as needed. Support loan program staff as necessary.
- Consulting & Program Support. Assist the consulting team executing on professional and / or subscriber service agreements with customers private and public. This could include pulling data, compiling information, and assisting with the assembly of electronic and / or other consulting deliverables. Additionally, execute various functions as delegated for EDWC and customer contracted incentive and other programs, supporting customers in navigating applications, program activities and required reporting.
- CRM System. Ensure EDWC’s Customer Resource Management (CRM) System is accurate and current. Research and update contacts by various methods. Support marketing by creating specific target lists for email campaigns. Input customer business cards. Share insights offered by the CRM.
- Reporting. Assist with gathering data for and calculation of various organizational performance measures and scorecard metrics. Input resulting information into monthly reports for leadership, the Board of Directors and consultative service subscribers.
- Operational Support. Assist the EDWC team with day-to-day activities and administration, including but not limited to supporting hosted events and workshops, arranging meetings, preparing meeting packets, compiling meeting minutes, gatekeeping, answering phone calls, ordering supplies, maintaining databases and documents. Assist with tracking accounts receivable and payable and preparing invoices and deposits for the accountant’s electronic processing. Monitor social media for relevant activity and schedule posts prepared by marketing. Ensure the back office operates smoothly. Assist with other duties as assigned.
Desired Qualifications
Demonstrated experience in successfully supporting customers internal and external, collaborating in small teams, prioritizing competing demands and attending to the details. Self-guided, solutions-oriented, and accountable. Equivalent combination of degree, training, and experience (minimum 2-3 years, not necessarily contiguous) in fields supportive of the responsibilities of this position. Successful track-record of building valued and trusted relationships is essential.
